Grants Administrator

PNRI is looking for a top-notch Grants Administrator to partner and collaborate with the Principal Investigators (PIs)in the holistic governance of all grants pre- and post-award management. This critical position is accountable for the submission, oversight, reporting, compliance, and relationship management for a portfolio of PNRI’s grants.

The Grants Administrator is responsible for coordinating, organizing and handling the grant application process, ensuring compliance with grant requirements, monitoring grant expenditures, and preparing reports. This position requires strong writing, communication, budget review, and time and project management skills, with an emphasis on outcome measurement.This position works closely with research staff, finance staff, and external funders to ensure successful grant outcomes. Demonstrated problem solving skills are critical to success, as well as taking initiative and ownership over the role and responsibilities. The successful candidate will be detail oriented, well- organized, and a team player with a high level of work integrity and ethical standards.

  • Grant Application and Proposal Development:
    • Identifies and researches potential funding opportunities.
    • Coordinates and prepares grant proposals, ensuring alignment with organizational goals and funder requirements.
    • Develops project budgets in collaboration with program and finance staff.
  • Grant Management and Compliance:
    • Supports Grant Manager in the oversight of the administration of awarded grants, ensuring compliance with all grant terms and conditions.
    • Maintains accurate and organized records of all grant-related activities and documentation.
    • Monitors grant expenditures and ensures funds are used in accordance with grant agreements.
  • Reporting and Communication:
    • Prepares and submits timely and accurate financial and programmatic reports to funders.
    • Communicates regularly with program staff to gather information and updates on grant-funded projects.
    • Serves as the primary point of contact for grant-related inquiries from funders and internal stakeholders.
  • Financial Oversight:
    • Works closely with the finance team to track grant expenditures and manage budgets.
    • Ensures proper allocation of grant funds and prepares financial reports and documentation.
    • Assist with audits and financial reviews related to grants.
  • Training and Capacity Building:
    • Provides training and support to program staff on grant management and compliance requirements.
    • Develops and implements internal procedures and best practices for grant administration.

  • Bachelor’s degree in Business Administration, Finance, Public Administration or equivalent in years of experience and education (e.g., 4 years). 
  • Minimum of two (2) years’ experience in grants administration, management, research or related field at an institute of higher education, or at an academic or research institute.
  • Certified Research Administrator (CRA) certification a plus.
  • Verifiable success with pre and post federal, state, and private foundation grant administration & management.
  • Demonstrated knowledge and expertise of grant processes, including proposal development, budgeting, and reporting.
  • Proven analytical and problem-solving abilities
  • Demonstrable success managing multiple priorities and processes simultaneously.
  • Verified time, project, & organizational management skills and the ability to meet deadlines.
  • Demonstrable written and verbal communication skills to effectively communicate with a wide range of stakeholders, including scientists.
  • Documented intermediate+ proficiency in grant management software and financial systems (i.e., ASSIST, Grants.gov, Sage Intacct).
  • Established and verified track record of a high level of attention to detail and a high degree of accuracy.
  • Demonstrated knowledge and expertise of non-profit financial management.
  • Confirmable self-starter with successful independent and efficient work performance.
  • Demonstrated ability to work as a collaborative team player, across diverse teams.

The annual base salary for this position is from $72,000 to $92,690 and the wage offered will be based on experience and qualifications.
